OKI Data Infotech Personal Information Protection Policy

Enacted: October 1, 2015.

This is our Corporate Philosophy at OKI Data Infotech, and in "providing our customers with printing solutions that enable them to achieve more effective business communication," we recognize our duty to realize greater value for our customers and to make our contribution to the information society. In keeping with these responsibilities, we have established the following framework to ensure the highest standards of protection for personal information are maintained within the Company.

When you provide your personal information to OKI, we will inform you about the purposes and the scope of how we will use that information in advance, at the reception window where we accept the information. We have measures in place to ensure that your information will not be used for any other purposes or outside that designated scope.

OKI will not disclose any of your personal information that we retain except with your consent or when required to do so by law.

OKI has stringent measures in place to protect our customers' personal information, including security solutions that prevent leakage, loss or damage to personal information held within the Company and error correction solutions.

OKI complies with all guidelines, laws and regulations and other standards laid down by the government, that apply to the personal information we hold.

In order to ensure that customers' personal information held at OKI is properly protected, we have appointed a Personal Information Protection Manager, and a Personal Information Protection Officer is installed in each department within the Company that handles personal information. All personnel that handle personal information undergo specific training on personal information security.

OKI's promise to you, is that if you ever wish to confirm, rectify, or erase any of your personal information held with us, or if you wish to make a complaint or consult with us about your personal information, just let us know at any of our reception windows and we will respond within a reasonable period of time.

OKI has constructed management systems to facilitate the highest standards of protection of personal information within the Company, and we are continually working to improve these.

Personal Information Usage Purposes

Pursuant to the Prescriptions of Article 18 and Article 24 of the Act on the Protection of Personal Information, OKI Data Infotech (hereinafter referred to as "the Company") will use personal information for the following purposes.

  • In order to perform our contracts
  • For making payments and invoicing

  • In order to implement a variety of measures to facilitate smooth relations with our shareholders
  • For shareholder related administrative duties such as creating data on shareholders pursuant to standards prescribed in various laws and regulations etc.

  • To make contact with and provide information on employment and recruitment etc. to people who are interested in joining the Company or who have applied for a position.

Notification to individuals about usage of their personal information will depend on the purpose for which the Company is using their personal information.

Providing personal information to third parties

The Company will not provide your personal information to any third party except in the following cases.

  • When the individual concerned has given their consent
  • When required to do so by law
  • When it is necessary to protect human life, health or assets, but it is difficult to obtain the consent of the person concerned
  • When delegating the handling of personal information to a contractor, within the scope of what is necessary in order to achieve legitimate usage purposes

The Company may delegate the handling of personal information to contractors within the scope necessary to achieve legitimate usage purposes

Personal information of customers who are under the age of 16

When a person who is under the age of 16 wishes to provide their personal information to the Company, we will require the consent of the minor's guardian.

"I Want You to Make Changes to My Personal Information"

If we receive a request from a customer or their representative asking to correct the content of their personal information or make an addition or deletion, we will respond within a reasonable period as required for the purpose of usage. Please direct your inquiries on handling your personal information to the reception window at the Company where you disclosed your information when making your registration. If you're not sure of the correct point of contact, please contact us. We will respond after ascertaining the nature of your inquiry.
